Vacation Leaves of Absence

Vacation Days

There are no State or Federal Labor Laws that require employers to offer hourly employees paid vacation time.

However, Northeast Data provides vacation days to cover absences for vacation use. All employees are required to give no less than 4 weeks notice for all vacation time. All vacation time must be approved by your manager prior to taking the vacation days and must not interfere with the normal business operations of the company or customer contract.

**Note: To have any vacation day request guaranteed (unconditionally), the employee needs to apply for this time 6-months in advance on the Vacation form. If Vacation time not yet available due to anniversary hire date, the Vacation form must be submitted by the employee and recorded by the HR department.

All employees are expected to use their allotted vacation time in full every year. Vacation time will normally be authorized in the following manner:

  1. When 4-weeks notice is provided (minimum of 30-day notice)
  2. When a vacation day is taken as an 8-hour / or 10-hour day (Whole workday depending on normal work schedule)
  3. Blocked Vacation - Employees with 3 or more weeks of vacation: 1-week of vacation must be utilized in a 1-week period 40/hours per week

Vacation time will only be guaranteed for time off with a 30-day advance notice due to scheduling. Employees with over 2-weeks vacation may only take 2-weeks or more consecutive time off with manager approval. Any employee wishing to take consecutive time off over 2-weeks should provide these requests at the beginning of the year so that scheduling and adequate employee coverage can be accommodated.

Time off should be submitted directly into Prime Pay for manager approval. Any time not approved by the immediate supervisor will result in the day not being paid.

All vacation time days must be taken as an 8 or 10 hour day depending on normal work schedule. Vacation time cannot be broken up into hours and must be taken in whole days unless approved by your immediate manager. Vacation time is considered a privilege. Vacation time may be carried over into the following Anniversary year only. A maximum of 1-week vacation (5 days or 40 hours) may be carried over into any one year. Any vacation days beyond the one-year allotment can be requested to be paid out for the remaining vacation days.

Employee must request a Vacation time pay out 30-days prior to the anniversary hire date. Any vacation time not requested for pay out (over the one-week roll-over) will be a loss to the employee and will not be reimbursed for by Northeast Data.

Prorating

Full time employees are entitled to paid vacation as shown in the following table. Vacation pay is based upon a standard work week and regular base earnings at the time vacation is taken. Length of continuous service is determined as of the employee’s anniversary of hire.

Vacation Requests Under 30-day’s Notice – Approval Form

Northeast Data understands that sometimes there are incidences that prevent an employee from being able to give a 30-day notice for vacation. Therefore, Northeast Data has an Under 30-day Vacation form on file. The employee that needs to complete this form must have their immediate manager sign off on the form no later than 48 hours prior to the date required off. It is at the Manager’s discretion if they will permit the shorten vacation day notice. This form must be completed prior to the 48 hours of the day being taken and can be subjected to being declined by the manager. The approved form must be submitted to the employee’s manager and then to the payroll department no later than 48 hours prior to the day being taken. Failure to hand the form to the payroll department may result in the day being unpaid.

Each incident not following this policy will be subkect to the progressive discipline policy.For outsourcing type positions / contract type roles, time off availability / and approvals may be subject to contract restrictions with the customer.

Any employee terminated from employment at Northeast Data will not be compensated for any unused vacation hours. Only employees who resign from employment and submit a minimum two-week notice, in writing, will be compensated for the unused vacation time.

Any employee accumulating three or more unexcused absences will be subject to termination from employment.
